Moving your accounts to QuickBooks
Converting your accounts data from QuickBooks Desktop to QuickBooks Online is easy. All it requires is a FREE Movemybooks login, then simply follow the step-by-step process in our online conversion software.
Setting things up will only take you 5 minutes and all you need to do is keep clicking on the green buttons. Our software will collect your desktop data, move it to your new QuickBooks company, then email you when it’s done – typically within a couple of hours.

What gets converted?
Our software will move the chart of accounts, customer data, supplier data and individual transactions for the current and previous accounting years.
All of the nominal/general ledger, customer and supplier balances will be the same as in the QuickBooks Desktop application you are moving from.
Please take a look at the post-conversion tasks to see what might need to be tidied up once your conversion is complete (this exercise generally takes only 30 minutes or less).
What does it cost?
QuickBooks will cover the cost for you to use our service to migrate your QuickBooks Desktop data to QuickBooks Online. This will allow you to migrate up to 2 years of historic data giving you all transactions for the current year to date, plus all of the previous accounting period for FREE.
If you would like additional years of transaction history, these cost £75 per year. You can also opt to include QuickBooks Desktop Classes information for an extra £75. All prices exclude VAT.

PLEASE READ BEFORE USING MOVEMYBOOKS
To convert from desktop accounting software, you will need to have the data open in QuickBooks so that our data uploader can access it.
If you only have a backup file and not the software, we can do this step for you. In the Source Data step, when you are asked to upload data, you can instead use Try another way. This will provide instructions on how to send your file and details to us so we can perform this task.
Please understand that it is impossible to make an exact copy of your data in a different accounting system. There will be some information that we can’t convert and some information may look a bit different when converted (see Limitations of service). You can be confident, however, that your financial data will be accurate overall.
Due to the limitations imposed on us by the software there may sometimes be a little tidying up work that you’ll want to do once the conversion is complete. We’ve done our best to make sure this is as little as possible and provide you with full guidance on these post-conversion tasks (see Completing post-conversion tasks).

What is Movemybooks?
Movemybooks is online software by Ledgerscope, experts at providing productivity tools for accountants, and the leading service for migrating company accounting and financial data from one accounting system to another.
QuickBooks has engaged Movemybooks specifically to help you move your data from QuickBooks Desktop to QuickBooks Online.
How much will the service cost?
QuickBooks has made arrangements with Movemybooks so that they cover the costs of migrating data from QuickBooks Desktop to QuickBooks Online. This means that migrating data for the current year to date and the prior financial year will be FREE.
If you would like additional years of transaction history, these cost £75 per year. You can also opt to include QuickBooks Classes information for an extra £75. All prices exclude VAT.
You will need to create a new QuickBooks organisation for each conversion and you will be responsible for the monthly subscription(s) to QuickBooks.

How long will it take to transfer the data?
This depends on the volume of data being converted, and how busy Intuit’s servers are. It usually takes just 2-3 hours but can take longer.
How will the data be used?
When you upload the data, our software converts it to QuickBooks Online format. We don’t review it in detail, share it with anyone outside our business, or use it for anything else. We do not retain the data permanently and it will be deleted from our servers after 30 days.
How will the data be protected?
Our online software is protected by strong encryption. This scrambles the data, making it virtually impossible to intercept and decode online. Data is stored encrypted on our servers. We also make sure data is encrypted when we transfer it to QuickBooks Online. For more information please refer to our Security Statement.
Can I move more than two years of transactions?
Yes, at an additional cost of £75 + VAT per extra year of data.

I’ve already created a QuickBooks Online company, can I still migrate existing desktop data to that account?
Yes, but only provided that the new organisation does not contain any data. If this is not the case, then the conversion will stop and you will need to provide a new, empty company to proceed.
What desktop software can I convert from?
UK versions 2009+ of QuickBooks Desktop. We only convert to the UK version of QuickBooks Online. We cannot convert into the Simplestart versions of QuickBooks Online.

What online software can I convert from?

Can I convert data with with foreign currencies?
Data which includes foreign currencies will be converted in the same way as other data. However, all foreign currency amounts will be changed to the home currency values. Factors specific to QuickBooks, and beyond our control, usually mean the conversion result is not completely accurate. We cannot therefore support fixing your conversion and you will need to accept the conversion results “as is”.
Do you support hosted desktops?
We work on a variety of hosted desktops. There is no requirement to install anything, but the extractor application will need to have permissions to run. Most of the time this isn’t an issue but if you’ve tried it and it doesn’t work then your hosting provider should be able to help and our support team will be happy to talk to them about it.
