Moving your accounts to QuickBooks
Converting your accounts data to QuickBooks Online is easy. All it requires is a FREE Movemybooks login, then simply follow the step-by-step process in our online conversion software.
Setting things up will only take you 5 minutes and all you need to do is keep clicking on the green buttons. Our software will collect your source data, move it to your new QuickBooks company, then email you when it’s done – typically within a couple of hours.

What gets converted?
Our software will move the chart of accounts, customer data, supplier data and individual transactions for the current and previous accounting years.
All of the nominal/general ledger, customer and supplier balances will be the same as in the source data.
Please take a look at the post-conversion tasks to see what might need to be tidied up once your conversion is complete (this exercise generally takes only 30 minutes or less).
Multicurrency Users
We cannot accurately convert data that includes transactions from QuickBooks in currencies other than GBP.
If you do decide to go ahead and convert data that includes foreign currency transactions, you must accept the results “as is” and we will be unable to provide any assistance with problems you find, even if the problems appear unrelated to foreign currency.

What does it cost?
There is a charge of £180 + VAT to move your accounting data to QuickBooks Online from another software, or £240 + VAT if moving from QuickBooks Desktop.
This allows you to migrate up to two years of historic data (all transactions for the current year to date, plus all of the previous accounting period). If you would like to take additional years of transaction history with you, these cost £75 + VAT per year. You can also opt to include Sage Departments or QuickBooks Classes information for an extra £75 + VAT.
If you are moving to QuickBooks from Xero, Sage Accounting or KashFlow, you will have the option to upload any attachments you may have in your source data for an extra £75 + VAT.

The important bit
PLEASE READ BEFORE USING MOVEMYBOOKS
To convert from another cloud platform, you will need to authorise us to access your current platform, and our web application will take care of the rest.
To convert from desktop accounting software, you will need to have the data open in Sage or QuickBooks so that our data uploader can access it.
We convert all of the core, important accounting data for you. This includes your chart of accounts and all of the balances on those accounts. Customer and supplier contact details, together with the balances on all customer and supplier accounts, are converted too. We also copy your individual transactions in detail.
Please understand that it is impossible to make an exact copy of your data in a different accounting system. There will be some information that we can’t convert and some information may look a bit different when converted (see Limitations of service). You can be confident, however, that your financial data will be accurate overall.
Due to the limitations imposed on us by the software you are converting from and to, there may sometimes be a little tidying up work that you’ll want to do once the conversion is complete. We’ve done our best to make sure this is as little as possible and provide you with full guidance on these post-conversion tasks (see Completing post-conversion tasks).

What is Movemybooks?
Movemybooks is online software by Ledgerscope, experts at providing productivity tools for accountants. Movemybooks extracts company accounting and financial data from your old accounting system, converts it and loads it into QuickBooks Online. We can currently transfer data from Sage 50, Sage Accounting, QuickBooks Desktop, KashFlow and FreeAgent.
How much will the service cost?
Our Convert 24 service costs just £180 (or £240 if moving from QuickBooks Desktop to QuickBooks Online) and gives you all transactions for the current year to date, plus all of the previous accounting period.)
If you would like additional years of transaction history, these cost £75 per year. You can also opt to include Sage department information for an extra £75. All prices exclude VAT.
You will also need to create a new QuickBooks organisation for each conversion and you will be responsible for the monthly subscription(s) to QuickBooks.

How long will it take to transfer the data?
This depends on the volume of data being converted , and how busy Intuit’s servers are. It usually takes 2-3 hours but can take a number of days depending on the above factors.
How will the data be used?
When you upload the data, our software simply converts it to QuickBooks Online format. We don’t review it in detail, share it with anyone outside our business, or use it for anything else. We do not retain the data permanently and it will be deleted from our servers after 30 days.
How will the data be protected?
Our online software is protected by strong encryption. This scrambles the data, making it virtually impossible to intercept and decode online. Data is stored encrypted on our servers. We also make sure data is encrypted when we transfer it to QuickBooks Online. For more information please refer to our Security FAQ.
Can I move more than two years of transactions?
Yes, at an additional cost of £75 + VAT per extra year of data.

I’ve already created a QuickBooks Online company, can I still migrate existing desktop data to that account?
Yes, but only provided that the new organisation does not contain any data. If this is not the case, then the conversion will stop and you will need to provide a new, empty company to proceed.
What desktop software can I convert from?
UK versions 2008 (v14)+ of Sage 50 / Instant Accounting, Sage Accounting, UK & Ireland versions 2009+ of QuickBooks Desktop. We only convert to the UK & Ireland version of QuickBooks Online. We cannot convert into the Simplestart versions of QuickBooks Online. If you are using Canadian software please visit our Canadan website for information.
What online software can I convert from?
UK versions of Xero, Sage Accounting and KashFlow.
Can I convert accounts with foreign currencies?
Data which includes foreign currencies will be converted in the same way as other data. However, all foreign currency amounts will be changed to the home currency values. Factors specific to QuickBooks, and beyond our control, usually mean the conversion result is not completely accurate. We cannot therefore support fixing your conversion and you will need to accept the conversion results “as is”.
Do you support hosted desktops?
We work on a variety of hosted desktops. There is no requirement to install anything, but the extractor application will need to have permissions to run. Most of the time this isn’t an issue but if you’ve tried it and it doesn’t work then your hosting provider should be able to help and our support team will be happy to talk to them about it.
Can I convert data into all versions of QuickBooks Online?
You can convert data into Essentials, Plus and Advanced versions on QuickBooks Online. We are unable to convert data into Self-Employed or Simple Start.
